Seeking Administrative Staff
Lilith & Cie is a creative company that uses art to promote social cohesion and healing. Since 2024, we have been building deep collaborations with Indigenous artists based in Montreal and developing new contexts for artistic presentation.
Lilith & Cie is seeking an ADMINISTRATION OFFICER to work closely with the General and Artistic Director.
MAIN RESPONSIBILITIES
General Administration
- Maintain and update company records:
- Prepare documents for the Board of Directors (resolutions, budgets, others)
- Prepare documents for the Annual General Meeting (resolutions, budgets, financial statements, others)
- Monitor and renew company insurance policies
- Manage and renew warehouse lease
- Liaise with regulatory bodies:
- Registrar
- CNESST
- CALQ (company profile)
- CAM (company profile)
Budgets and Accounting
- Prepare and maintain operational budgets
- Receive and process invoices
- Code invoices according to the general ledger and operational budget codes
- Track and manage grant revenues
- Monitor petty cash and reimbursements
- Maintain and update supplier files
- Handle CNESST payments (annual)
- Prepare T4A, T5, and R3 slips (annual)
- Tax filings (via accountant)
- Prepare all other required declarations for Revenu Québec and CRA
- Prepare documents for the auditor and support annual financial statement preparation
Funding Applications
- Monitor all funding applications (CAM, CALQ, CAC, City of Montreal, others)
- Review and suggest edits to texts written by the Artistic Director
- Develop budgets with the Artistic Director
- Prepare administrative documents requested by funders
- Communicate with program officers
Project Management
- Track projects, invoices, proposals, and payments
REQUIRED SKILLS
- Experience in administration within the cultural sector
- Strong command of French and English
- Proficient in Microsoft Office, Google Suite, and Mac environment

POSITION DETAILS
- Part-time (approximately 10 hours per week)
- Flexible schedule (not required to be based in Montreal)
- Hourly rate: $35/hour
- Start date: as soon as possible
