Front Desk Agent – Weekend Receptionist

The person in this position is responsible for providing professional and welcoming reception services to staff, students, and visitors. They help ensure smooth operations at the school’s front desk on weekends, while also carrying out a variety of administrative tasks. Occasional weekday shifts may be offered to meet replacement or special staffing needs.

Key Responsibilities

  • Greet staff, students, and visitors.
  • Manage the visitor log (sign-in/sign-out).
  • Monitor and manage access to parking.
  • Answer phone calls, emails, and general inquiries.
  • Provide logistical and administrative support to staff and management.
  • Process payments or assist with registrations, as needed.
  • Ensure safety and proper functioning of the reception and common areas.
  • Follow emergency protocols and relay important messages.
  • Assist with special events (auditions, performances, open houses, etc.) as needed.

Candidate Profile

Education and Experience

  • Any combination of relevant education and experience will be considered (training in office administration, secretarial work, customer service, etc.).

Assets:

  • Experience in a cultural centre, school, dance studio, or arts organization.

  • Understanding of how schools or artistic institutions operate.

  • Interest in the arts or cultural sector.

Skills and Qualities

  • Excellent presentation and courtesy.
  • Strong organizational skills.
  • Ability to manage multiple tasks: phone, emails, registrations, room bookings, logistics, etc.
  • Effective communication with diverse audiences.
  • Discretion and professionalism.
  • Comfortable with technology (basic school management software, email, schedules, etc.).
  • Bilingualism in French and English.

Working Conditions

  • Compensation: based on experience
  • Schedule: 15 to 20 hours per week on weekends, with occasional evening shifts during the week as needed.
