Administrative Director

Founded in 2005, Casteliers is a presenter specializing in theatre and dedicated to the art of puppetry. The organization hosts an annual international festival and a regular season of programming, welcomes artists in residence, and offers a wide range of cultural outreach activities to citizens of all generations.

Job Description
Reporting to the Executive Director, the Administrative Director is part of the management team. They plan, supervise, and carry out all administrative, accounting, and financial operations of Casteliers. They ensure the integrity of internal processes, compliance with legal frameworks, and adherence to contractual commitments. This role is central to the smooth operation of the organization and actively contributes to fulfilling its mission.

Main Responsibilities
Plan, supervise, and carry out all administrative, accounting, and financial operations
Develop operating and project budgets in collaboration with the Executive Director, and ensure cost monitoring and control
Manage day-to-day accounting (payroll, source deductions, taxes, accounts receivable/payable, bank reconciliations)
Prepare documents for the annual audit and work with external auditors
Negotiate, draft, and follow up on contracts and agreements (partners, artists, suppliers)
Take part in the organization’s strategic financial planning
Contribute to public and private fundraising efforts (drafting grant applications, reports, and participating in fundraising activities)
Supervise the administrative team and support human resources management
Implement, update, and enforce internal policies, standards, and procedures
Produce required reports and ensure proper administrative and financial accountability

Candidate Profile
Minimum five (5) years of experience in a similar position, ideally within a cultural organization
Bachelor’s degree in administration, accounting, or a related field; training in human resources management is an asset
Knowledge of accounting principles applicable to non-profits; experience with Sage 50 software is an asset
Excellent knowledge of the Quebec cultural sector and its funding mechanisms
Excellent written and spoken French; bilingualism (French/English) required
Strong interpersonal skills and ability to collaborate with internal and external teams with diverse expertise

Conditions
Full-time position (28 to 35 hours/week, to be determined)
Start date: October 2025
Annual salary based on experience and current salary scale
Option to work remotely two days per week
