Assistant to the General and Artistic Directors, Professional Liaison (Temporary Replacement)

Under the supervision of the Co-Executive Director and the Co-Artistic Director, the incumbent in this position contributes to the preparation and follow-up of meetings for these leadership teams, including those of the Board of Directors and its committees. They also provide logistical support to the Artistic Direction (communications, travel organization, etc.). The incumbent will additionally prepare the necessary tools to support Quebecois, Canadian, and international professionals in anticipation of their participation in the Festival.

The incumbent assumes the following responsibilities in alignment with the organization’s mission and values:

SUPPORT TO CO-EXECUTIVE AND CO-ARTISTIC DIRECTORS

  • Prepare and submit draft agendas for various meetings for approval;
  • Call meetings of the Board of Directors and its committees, and ensure the preparation and distribution of required documentation;
  • Attend Board and committee meetings, take notes, and submit draft minutes to the executive management for approval;
  • Ensure the administrative follow-up of Board and committee files;
  • Prepare official correspondence, including communications addressed to arts council representatives, elected officials, etc.;
  • Organize travel for the artistic team;
  • Monitor national and international networks and the performing arts sector, keeping the co-directors informed of trends and changes observed;
  • Contribute to the implementation of an automated booking system for invited FTA professionals;
  • Establish a preliminary list of invited professionals and keep their contact information up to date;
  • Prepare invitations and send them to selected presenters;
  • Transmit the final list of invited professionals to diplomats and dignitaries, as well as to programmed companies and select national presenters;
  • Maintain contacts with cultural delegations abroad (Quebec delegations and embassies);
  • Prepare grant applications and activity reports required by funding organizations to support presenters.
